What is an EAP – and what really matters?

An Employee Assistance Program (EAP) – often referred to as Mental Health Coaching at our institute – is an externally provided counseling service for employees and managers. The program is designed to help individuals address specific challenges and thereby reduce mental stress. The result is greater satisfaction, stronger identification with the company, and more efficient work. Importantly, participation is completely voluntary, confidential, and free of charge for employees-the company covers the costs.

What makes a good EAP?

A good EAP covers a wide range of topics: workplace pressures and conflicts, stress and burnout, personal crises, debt, caring for family members, and legal issues. What sounds similar on paper across many providers often differs significantly in practice.

The key metrics when choosing an EAP are the usage rate and the range of topics covered: Traditional EAPs are used by only 1-3 percent of the workforce on average. Even though the usage rate varies significantly by industry and corporate culture, this means that the vast majority of those who need support are not being reached. When selecting a provider, you should therefore ask critically about the penetration rate among the workforce. This isn’t just about app downloads; it’s about actual use of the counseling services. Other very important factors include the duration of sessions, the qualifications of the counselors, whether in-person counseling is offered, and the languages in which counseling is available.

How much does an EAP provider cost in Germany

Costs vary depending on the provider, scope of services, and company size. As a guideline: Basic plans start at around 2 to 3 euros per employee per month. Programs with in-person counseling, multilingual access, active case management,
and data-driven analytics are correspondingly more expensive. Digital-first providers often have lower costs per employee but typically do not offer on-site counseling, have shorter or limited counseling sessions, lower quality standards for counseling, and usage rates that are composed of counseling sessions and app usage.

Most established providers do not publish list prices. Custom quotes are standard-team size and the desired scope of services are the most important variables.

What you should keep in mind when evaluating costs: Reduced absenteeism, lower turnover, and higher productivity offset the investment-provided the program is actually used.

The counseling takes a systemic, solution-oriented approach, focusing on concrete options for action rather than mere problem analysis. The offering is complemented by the Mindance app as a digital component for mental health promotion. A unique
feature: According to its own statements, pme actively works to arrange therapy appointments in a timely manner-rather than simply providing contact information.

4. Lyra

Lyra is a U.S .- based company that has also been active in Europe for several years. The model is highly technology-driven: An algorithm matches employees with therapists based on preferences, symptom profiles, and availability. The focus is on evidence-based treatment methods and measurable outcomes.

Lyra is one of the few providers on the market that publicly discloses its prices. For teams of 10 to 49 people, the price is approximately 123 euros per employee per year. For larger companies, the unit price decreases accordingly. Companies that place particular emphasis on GDPR compliance and data processing within the EU should carefully verify the provider’s country of origin and the locations of its servers in advance.

5. BG Prevent (ehemals B.A.D.)

BG Prevent emerged from B-A-D, one of the oldest providers of occupational medicine and occupational safety in Germany. The company has 45 years of experience and operates 140 locations nationwide, but its background lies primarily in the field of physical health and traditional workplace health management (BGM). The EAP offering has grown out of the core occupational medicine business and remains embedded within it to this day: It is not a standalone mental health product, but rather a component of a holistic CHM portfolio that brings occupational safety, health promotion, and return-to-work management together under one roof.

The approach is consistently digital: all sessions and services are conducted via the app or browser. There are no in-person consultations on-site. The counselors are not full-time employees; instead, nilo.health relies on a network of freelancers – according to the company, it includes over 500 psychologists in more than 50 languages. 

This is a key difference from providers like the Furstenberg Institute: While nilo focuses on scalable digital reach, it lacks any physical presence. For employees who prefer a face-to-face session at an institute – or who find themselves in a situation where a confidential in-person appointment would be the better option – nilo is structurally not a substitute. The provider itself notes that the service is not suitable for severe mental illnesses, psychoses, severe trauma, or suicidal thoughts and should not be used in these cases. The number of 45-minute sessions per case is limited.
